1. Introduction

In order to reduce the workload of teachers and staff, which has become a social issue, we are developing a next-generation school administration support system. Currently, we are limited to providing services to Meikei Gakuen Junior and Senior High Schools in japan, but we are considering expanding the service to other schools and creating packaged products based on requests.

2. Features of our school business support system

◆Planned by teachers working in the field

All functions are designed by school teachers.
This results in a comfortable and functional feel that is suitable for use in actual educational settings.

◆School administration support system provided by us

We provide a comfortable attendance management function that automatically reflects attendance notifications from parents or students themselves, and can be used easily even during limited class time.

What are the problems facing school management systems?

  • Although the school administration support system has a function to manage attendance, it is not a function that can be used in actual classes.
  • As a result, students are taking attendance in class on paper and re-registering their attendance after school.
  • Attendance information is obtained through a communication tool with parents, but it is not linked to the school administration support system, so students have to refer to the communication tool and transfer it to a separate system.
To solve these problems, we can provide the following systems.

Cooperation with MicroSoft365

MicroSoft365 has a wide variety of applications that are useful on its own, but even more benefits can be obtained by linking it with a school administration support system.

ID cooperation

Using AzureAd, it is possible to standardize ID management and authentication/authorization infrastructure. Security tends to be a trade-off between “convenience” and “peace of mind,” but it is possible to achieve both at a high level.

Schedule coordination

Timetable information can be linked to the instructor’s Outlook calendar. Schools are increasingly sharing calendars, and it is becoming possible to automate the management of appointments such as three-way interviews.

Automatic contact/file linkage

 Forms can be Automatically saved securely on one drive, and when a report card is created, it can be automatically delivered to the person/guardian via teams. Automation also prevents human errors that tend to occur when manually attaching and enclosing documents.

Power BI cooperation - development schedule -

By linking with PowerBI, it is possible to provide information on a dashboard without the need for time-consuming data processing.  *Currently, this is not provided as standard, but we can accommodate your requests.  

Cooperation with Jugaad

Jugaad is a solution for digitizing our application and reporting operations.  

It can be used alone for purposes such as in-school expense settlements, business trip applications, and various applications with students, but it can be further automated by linking with school administration support systems.

Attendance management

Absence notifications received in SmartFlow are reflected directly in the school’s administrative support system as “absent” status, and there is no need to post them.

Student information such as club activities

For student information on club activities, etc., by linking the admission and withdrawal forms to the school administration support system, posting is no longer necessary, and student information can be updated directly based on the approved information.  

Compatible with legal forms

We can handle not only everyday forms such as report cards and attendance management sheets, but also legal forms such as instruction manuals and survey forms. In addition, it is possible to automatically output the forms necessary for running the IB course . 

Provided as a cloud service

Our school business support system is provided as a cloud service, eliminating the need to install on teachers’ PCs or manage servers at the school each time, and proper backups are performed without the need for a separate disaster plan.
